Capital One Property Management Ltd (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal information we collect through our website and services, how we use it, and the rights you have. We are registered with the Information Commissioner’s Office (ICO), reference ZC090309.

Who we are

Information we collect

• Enquiry & valuation forms — your name, email, phone number, property postcode, and anything you tell us (such as the service you’re interested in or your message).
• Tenant register-interest form — your name, email, phone, what you’re looking for, and any property of interest.
• Reviews — if you leave a review, we collect your name, area/town, star rating and review text. We only ever publish your first name and area, and only with your consent (via the tick box on the review form).
• Website analytics — we use Cloudflare Web Analytics to understand how our site is used. It is privacy-first: it does not use cookies and does not track individual visitors. It collects only aggregate, anonymous information such as page views, visits, approximate country and device type.

Cookies

Our website does not use tracking or advertising cookies, and our analytics are cookie-free. That’s why you won’t see a cookie-consent pop-up here — there’s nothing to consent to.

How we use your information

• To respond to your enquiry and provide lettings and property management services.
• To contact you about a valuation, a property, or your tenancy enquiry.
• To publish approved reviews (first name and area only) on our website.
• To understand, in aggregate, how our website is used so we can improve it.

Our legal basis

Under UK data protection law (UK GDPR) we rely on:

• Consent — for example when you submit a review for publication or ask us to contact you.
• Legitimate interests — responding to enquiries you send us, and running and improving our business and website.
• Performance of a contract — where we provide services to you, such as managing a tenancy.

Who we share it with

We do not sell your data. To run our website and communicate with you we use a small number of trusted service providers, including our website host (Netlify), our analytics provider (Cloudflare), our form-delivery service (FormSubmit, which passes website form submissions to our inbox) and Microsoft 365 for our email. We may also share information with regulators, redress or client-money-protection schemes, or our professional advisers where we are required or permitted to do so.

How long we keep it

We keep enquiry and customer information only for as long as necessary to provide our services and to meet our legal and regulatory obligations, after which it is securely deleted.

Your rights

Under UK data protection law you have the right to:

• access the personal information we hold about you;
• ask us to correct or delete it;
• object to, or ask us to restrict, how we use it;
• request a copy of it in a portable format;
• withdraw your consent at any time — for example, asking us to remove a review you previously agreed to publish.
